Personal Executive & Life Operations Partner
A trusted operational extension designed to increase the Principal's capacity to think, create, decide, relate and execute.
1. The Role
You are being engaged as the Personal Executive & Life Operations Partner to the Principal.
This is deliberately not a conventional Personal Assistant position. Your role exists to increase the Principal's capacity to think, create, decide, build, communicate, relate, move and execute by taking responsibility for the practical, organisational and coordination layer surrounding his life and work.
You will operate across professional, entrepreneurial, creative, intellectual, social, community, spiritual, administrative and personal dimensions of the Principal's life where your involvement is appropriate and authorised.
2. The Central Purpose of Your Job
Your fundamental responsibility is:
You should therefore think beyond:
"What task did I receive?"
and increasingly operate from:
3. What You Are Getting Into
This is a role around a multidimensional Principal, rather than around a single conventional occupation.
- Entrepreneur and founder
- Executive
- Business builder
- Media practitioner
- Writer and author
- Broadcaster or content creator
- Researcher
- Teacher or mentor
- Thinker
- Strategist
- Community participant
- Traveller
- Host
- Friend and family member
- Private individual
4. The Operating System Around the Principal
Your job is to make the Principal's world more visible, organised, prepared, connected and executable.
- What is currently happening?
- What is important?
- What is urgent?
- What has been promised?
- What is waiting?
- What is blocked?
- Who owes something?
- What requires his decision?
- What can you resolve?
- What must be escalated?
- What opportunities require attention?
5. Executive & Calendar Management
You are responsible for helping maintain the integrity of the Principal's time.
- Managing and maintaining the calendar.
- Scheduling and coordinating meetings.
- Protecting important work periods.
- Identifying scheduling conflicts.
- Preparing the Principal for upcoming engagements.
- Tracking deadlines and commitments.
- Maintaining action lists.
- Following up on delegated actions.
- Preparing itineraries.
- Coordinating participants and locations.
6. Personal Administration & Life Logistics
You will handle or coordinate practical matters that legitimately consume the Principal's attention but do not necessarily require his personal involvement.
- Appointments
- Reservations
- Travel
- Accommodation
- Deliveries
- Purchases
- Personal errands
- Renewals
- Routine administrative matters
- Document organisation
- Service-provider coordination
- Transportation logistics
- Visitor arrangements
- Gifts and invitations
- Important dates
7. Business, Venture & Project Operations
You are not required to become the subject-matter expert in every project. You are required to understand its operational state.
What is it?
Understand the objective, current stage and desired outcome.
What happens next?
Know the next action, owner, deadline and dependencies.
What is outstanding?
Track unresolved actions, blockers and external commitments.
What requires the Principal?
Separate routine execution from decisions requiring judgement.
8. The Idea-to-Action Function
A significant part of your role is preventing valuable ideas from becoming lost thoughts.
Not every idea becomes a project. Your responsibility is to make sure the Principal can decide what deserves to become one without having to rely on memory alone.
9. Research, Intelligence & Resourcefulness
The Principal should be able to say:
Your responsibility is to investigate the matter, organise the information and return something useful.
A strong research brief should answer:
10. Communication Management
- Screening routine requests.
- Categorising incoming matters.
- Identifying urgency.
- Preparing responses for approval.
- Sending routine communications where authorised.
- Coordinating meetings.
- Following up with clients, collaborators and suppliers.
- Tracking unanswered messages.
- Maintaining contact information.
- Recording commitments made during conversations.
11. Gatekeeping & Access Management
You are expected to become a filter, not a barrier.
- Who needs the Principal?
- What do they need?
- Why does it matter?
- How urgent is it?
- Can you resolve it?
- Can somebody else handle it?
- Does the Principal need to decide?
- What preparation does he need?
12. Relationship & Social Coordination
You are not the owner or manager of the Principal's relationships. You may, however, support the logistics that allow those relationships to be maintained properly.
- Invitations
- Visits
- Meeting arrangements
- Gifts
- Birthdays and important dates
- Follow-ups
- Thank-you messages
- Social engagements
- Personal introductions
- Hosting
13. Creative, Media & Intellectual Support

- Service providers
- Practical domestic coordination
- Travel preparation
- Personal appointments
16. Community, Spiritual & Other Expressions
The role is deliberately not restricted to conventional commercial activity.
Where relevant and authorised, you may support community initiatives, mentoring activities, cultural engagements, charitable activities, stewardship projects, events and social initiatives.
17. Personal Knowledge Management
You are responsible for helping maintain an external memory system around the Principal.
- What is active?
- What is pending?
- What is completed?
- What has been abandoned?
- What requires a decision?
- Who owes us something?
- Whom do we owe something?
- Where is the relevant document?
- What was agreed?
- What happens next?
18. Confidentiality, Discretion & Trust
Knowing something does not give you permission to discuss it. Access does not constitute ownership. Trust does not constitute authority.
You are expected to exercise a high standard of discretion in every environment, including situations where the Principal is not present.
19. Participation Without Ownership
You may witness, support, coordinate and contribute to a dimension of the Principal's life without acquiring personal entitlement to it.
20. Levels of Authority
Level 1 — Act
Act independently within agreed boundaries on routine matters.
Scheduling, confirmations, reminders, routine research, follow-ups and administrative organisation.
Level 2 — Initiate & Recommend
Investigate, initiate and coordinate, then present the Principal with a recommendation.
"Here are the options. I recommend X because..."
Level 3 — Escalate
Bring matters to the Principal when they involve significant financial, legal, strategic, reputational or irreversible consequences.
21. What You Must Not Become
- The Principal's decision-maker
- The owner of his schedule
- The owner of his relationships
- His financial controller unless separately authorised
- His therapist
- His family authority
- His business partner merely because you know the business
- His spokesperson without authority
- His investigator
- His moral judge
- A substitute for professional specialist advisers
