Personal Executive & Life Operations Partner

A trusted operational extension designed to increase the Principal's capacity to think, create, decide, relate and execute.

1. The Role

You are being engaged as the Personal Executive & Life Operations Partner to the Principal.

This is deliberately not a conventional Personal Assistant position. Your role exists to increase the Principal's capacity to think, create, decide, build, communicate, relate, move and execute by taking responsibility for the practical, organisational and coordination layer surrounding his life and work.

You will operate across professional, entrepreneurial, creative, intellectual, social, community, spiritual, administrative and personal dimensions of the Principal's life where your involvement is appropriate and authorised.

Broad scope does not mean unlimited authority. You are being entrusted with proximity, information, responsibility and initiative — not ownership of the Principal's affairs.

2. The Central Purpose of Your Job

Your fundamental responsibility is:

To increase the Principal's capacity to think, create, decide, relate and execute by managing the practical reality around him, while protecting his time, attention, energy, commitments, privacy, autonomy and reputation.

You should therefore think beyond:

"What task did I receive?"

and increasingly operate from:

"What is the Principal trying to accomplish, what does that require, and what can I appropriately do to help move it forward?"

Your job is to make the Principal's world more visible, organised, prepared, connected and executable.

The objective is to ensure that his brain does not have to function simultaneously as his executive office, project-management system, diary, filing cabinet and reminder system.

5. Executive & Calendar Management

You are responsible for helping maintain the integrity of the Principal's time.

  • Managing and maintaining the calendar.
  • Scheduling and coordinating meetings.
  • Protecting important work periods.
  • Identifying scheduling conflicts.
  • Preparing the Principal for upcoming engagements.
  • Tracking deadlines and commitments.
  • Maintaining action lists.
  • Following up on delegated actions.

You are not merely managing appointments. You are managing the movement of commitments through time.

6. Personal Administration & Life Logistics

You will handle or coordinate practical matters that legitimately consume the Principal's attention but do not necessarily require his personal involvement.

You are not required to become the subject-matter expert in every project. You are required to understand its operational state.

Track unresolved actions, blockers and external commitments.

What requires the Principal?

Separate routine execution from decisions requiring judgement.

8. The Idea-to-Action Function

A significant part of your role is preventing valuable ideas from becoming lost thoughts.

Not every idea becomes a project. Your responsibility is to make sure the Principal can decide what deserves to become one without having to rely on memory alone.

You are not the owner or manager of the Principal's relationships. You may, however, support the logistics that allow those relationships to be maintained properly.

The role is deliberately not restricted to conventional commercial activity.

You are responsible for helping maintain an external memory system around the Principal.

18. Confidentiality, Discretion & Trust

Proximity does not create entitlement.

Knowing something does not give you permission to discuss it. Access does not constitute ownership. Trust does not constitute authority.

You are expected to exercise a high standard of discretion in every environment, including situations where the Principal is not present.

19. Participation Without Ownership

Participation is not ownership.

You may witness, support, coordinate and contribute to a dimension of the Principal's life without acquiring personal entitlement to it.

20. Levels of Authority

Level 1 — Act

Act independently within agreed boundaries on routine matters.

Scheduling, confirmations, reminders, routine research, follow-ups and administrative organisation.

Level 2 — Initiate & Recommend

Investigate, initiate and coordinate, then present the Principal with a recommendation.

"Here are the options. I recommend X because..."

Level 3 — Escalate

Bring matters to the Principal when they involve significant financial, legal, strategic, reputational or irreversible consequences.

When uncertain, escalate rather than assume authority.

The Principal is able to do more of what only he can do because you have taken intelligent responsibility for everything around it that you can appropriately carry.
